Job/Duty Description

Maintain, cultivate and grow individual, organizational, and Sponsored Project mem
bers of Austin Creative Alliance. Work closely with the CEO and staff to develop programs
that meet the changing needs of our members and creative community.

Major Responsibilities:
Fiscal Sponsorship
• Primary point of contact for ACA Sponsored Projects
• Lead “So You Want to be Fiscally Sponsored” workshops.
• Review and update fiscal sponsorship application, intake and reporting procedures and materials annually to ensure the program is operating at or above industry standards
• Ensure SP contract compliance - including checking SP websites and printed materials for the mandatory publicity statement, ACA logo and links to ACA website.
• Maintain detailed and accurate records (both electronic and hard copies) of membership records, Sponsored Project Applications, SP contracts, Donations, Donation Thank you letters, Grant applications including City Funding Applications, grant reports
• Provides assistance with City Funding Applications during all points of the application and reporting process including: providing detailed application and reporting instructions, one-on-one consultations, and a thorough review of all drafts of COA funding applications revisions, and final reports
• Process requests for liability insurance for all city funded SPs as well as any additional SPs that wish to opt into the liability insurance coverage Membership
• Primary point of contact for ACA members
• Maintain detailed and accurate records of memberships (both individual and organizational) including updating Constant Contact with new member email addresses
• Manage membership renewal campaigns
• Work with staff to conceive and develop new membership benefits, services and programming
• Maintain Membership database.
• Issue membership cards to new and renewing members

Programs
• Event Planner and manger for most of ACA's programs: workshops, Seminars, and other events as needed
• Manage ACA's Volunteer and Internship Program
• Create and Implement new programs based on Membership and creative community feedback Reporting
• Work closely with ACA Staff to create grant reports
• Provide board of directors membership and donor reports as requested
• Complete the NPA Final report to the city and schedule a presentation at the November or December Arts Commission Meeting

Additional Duties
Office Management
• Create, Maintain and update all ACA general office documents
• Manage and update ACA's Constant contact mailing lists
• Research services/software that can boost office efficiency
• Maintain ACA Board Book and Board Related Materials
• Assist with communications between ACA staff and Board of Directors
• Make regular purchases to facilitate a healthy working environment for the staff, including the purchasing of office supplies, food and beverage for ACA office and for ACA events

Miscellaneous
• Attend City, and community events as a representative of ACA
• Participate in Civic planning events and programs to ensure that the Creative Industry is included in the conversation and the further development of the city of Austin
